Intake & Case Management Department

  • This is where the journey with every child and family begins. 
  • Intake connects families to Case Management, setting the foundation for all services Maskosis provides.
  • It starts with the Initial Contact. This is when a family, guardian, or community partner reaches out to request support.
  • From there, the Intake Meeting and filling up Intake Forms,  allows us to sit down with the family, listen and get to know their story, and gather the information needed to identify with their needs.
  • Once that is complete, we move onto the Documentation and Case File Creation, where all the details are properly recorded and organized.
  • The next stage is File Management, where we maintain and update our case files. This ensures accuracy and continuity throughout the child’s care journey. 
  • Finally, everything connects to Case Management, where ongoing communication, follow-ups and service coordination happen. This is where the family receives continuous support and where our commitment to long term wellness and growth truly comes to life. 

Transition to Next Department

  • Moving on to our next department, General Administration, which is an integral part of our organization. 
  • The General Administration Department is responsible for ensuring that day-to-day operations are organized, efficient, and well-connected across all our locations.
  • The General Administration Department is branched into different smaller departments, primarily Finance Work, Receptionist Work, and Client Records Management.
  • Some of our key operations include:
  • Managing Client Records and Correspondence – We organize forms, case files, and confidential documents to ensure everything is up to date and securely maintained.
  • Scheduling and Calendar Management – I coordinate staff meetings, client appointments, and community events.
  • Handling Communications – We respond to emails and inquiries, answer phone calls, and route them to the appropriate staff or department.
  • Managing Partnerships – We also manage partnerships with our service providers, contractors, and community partners, making sure all collaborations run smoothly and align with our organization’s goals.
  • Basic Finance Support – We assist with tracking invoices and expense receipts, and ensure timely payments are made to our service providers.
  • Internal Office Support Operations – This includes ordering office supplies, preparing meeting materials, and supporting daily office operations.

Our department is composed of a dedicated team that includes:

  • 2 Administrative Assistants, 2 Intake Workers, an HR Specialist, 2 Custodians, 3 Security Staff, 1 Facility/Grounds/Mechanical/Maintenance Worker, a Finance Clerk, and a Receptionist.
  • Together, we work to make sure the organization runs efficiently and that all staff have the support they need to serve our families and communities effectively.
  • With the General Administration taking care of the foundation of our daily operations, we’re able to support other key areas of Maskosis. One of those is the Community Wellness Services Department, which plays a vital role in promoting health and wellness within our communities.
